Xero to QuickBooks Conversion Without Duplicate Contacts

The Xero to QuickBooks Online conversion moves your customer and vendor lists as they stand, into a company file that has to start blank. Duplicates that were harmless in Xero turn into split customers, split vendors and split 1099 totals. Here is how to clean them before the switch.

A Xero to QuickBooks conversion copies your contacts exactly as they are. Intuit routes the move through its conversion partner Dataswitcher, which converts the customer and vendor lists along with up to two fiscal years of invoices, bills, payments and bank transactions at no charge, into a QuickBooks Online file that must be blank before you start. Every duplicate contact in Xero arrives as a duplicate customer or vendor in QuickBooks, already attached to transactions.

The cheap moment to fix that is before the conversion, in Xero. Export the contacts, find the duplicates in that file with a person reviewing each match, merge the confirmed pairs in Xero, and only then run the conversion. Every decision goes into an audit log, so when the QuickBooks lists are shorter than the Xero contact list, you can show why.

What the Xero to QuickBooks Online conversion moves

According to Intuit, the conversion needs a Xero US organization and a paid QuickBooks Online US subscription, with Advanced required above 250 accounts in the chart of accounts. The person running it needs the standard or advisor role in Xero and company admin rights in QuickBooks. The project takes a few days to a few weeks including the work before and after, and the processing itself takes minutes to hours.

Data Converted Cost
Customer and vendor lists, chart of accounts Yes No charge
Invoices, bills, credits, payments, bank transactions Up to two fiscal years No charge
Older fiscal years, inventory items, tracking categories Yes Fee quoted in the wizard
Payroll, budgets, reconciliation history, attachments No Not available

Two lines in that list decide the cleanup. The QuickBooks file has to be blank, so you cannot clean a list there first and convert on top of it. And the lists arrive with their transactions, so any duplicate you merge afterwards is a permanent merge in QuickBooks rather than a quick fix in a spreadsheet.

Why Xero contacts turn into duplicate customers and vendors

Xero keeps one contact list. A contact becomes a customer when you invoice it and a supplier when you enter a bill, and one contact can be both. QuickBooks Online keeps separate customer and vendor lists and requires display names to be unique across customers, vendors and employees. A business you both buy from and sell to needs two slightly different names in QuickBooks, which is why bookkeepers end up with "(v)" and "(c)" suffixes.

On top of that sit the ordinary duplicates: "Oakridge Dental Group" and "Oakridge Dental Group LLC", a supplier entered once from a bill and again from a bank rule, a client whose accounts address changed. In Xero they were two contacts on one screen. In QuickBooks they become two customers with two balances, or two vendors with two payment histories, and for a contractor that means two partial 1099 totals.

What a real Xero contact export looks like after the pass

We built a file in the shape of a Xero contacts export, with ContactName, EmailAddress, FirstName, LastName, PORegion and POPostalCode columns, and ran it through the engine behind our browser demo. These are the results it actually returned.

Rows in the file What they had in common Result Confidence
Cascade Print Co, second row in lowercase with capitals in the email Same email after trimming One cluster, casing fixed High
Oakridge Dental Group and Oakridge Dental Group LLC, one with no email Close name and company match One cluster, the row with email kept Likely
Bluewater Marine Supply and Blue Water Marine Supply Close company name One cluster for review Likely
Northstar Consulting, two people, two emails Same company only Left as two contacts Not matched

The same run proposed illinois, oregon, new jersey and florida as IL, OR, NJ and FL, and restored the leading zero on ZIP code 7030 to 07030. The Northstar pair is the one to notice. Two people at one client with two addresses are two contacts, and a matcher that merged them on the company name would have cost you an accounts payable contact. Both likely clusters wait for your approval instead of merging on their own.

How to clean Xero contacts before converting to QuickBooks

  1. 1 Export the contacts from Xero. In Contacts, choose All contacts and use Export, which downloads a CSV. Keep the name, email, first and last name, address, phone and tax number columns, and add a column marking whether each contact has invoices, bills or both.
  2. 2 Load the CSV into the demo. Nothing uploads, the file is read and matched inside your browser tab. Approve the clusters and the state and ZIP code fixes you agree with, reject the rest, and download the cleaned file with its audit log.
  3. 3 Merge the confirmed pairs in Xero, not in QuickBooks. In Contacts, select the duplicates, choose Merge, pick the contact to keep and confirm. Xero archives the merged contact and moves its transactions to the one you keep, and no transactions are deleted.
  4. 4 Decide the names for contacts that are both customer and supplier. QuickBooks will need two display names, so choose the pattern now, for example the plain name for the customer and a suffix for the vendor, and apply it consistently.
  5. 5 Run the conversion, then compare the QuickBooks customer and vendor counts with the cleaned Xero list and the audit log. Any extra record is a duplicate the conversion created, and the log tells you which one to keep.

Should you merge duplicates in Xero or in QuickBooks Online?

In Xero, before the conversion. A Xero merge archives the duplicate and keeps every transaction, so the history stays intact. In QuickBooks Online a merge moves the transactions to the record you keep and cannot be undone, and Intuit says a merged vendor has to be recreated by hand. Merging in Xero also means the conversion carries one record per business, which is what you wanted in the first place.

The exception is a duplicate that only appears after the conversion, usually a contact that was both customer and supplier and came across under two names you did not plan. Those you handle in QuickBooks, one pair at a time, from a reviewed list. The QuickBooks Online merge vendors and customers page covers that pass on a QuickBooks export. Firms that move clients the other way, off QuickBooks and onto Xero, hit the mirror problem, covered in QuickBooks to Xero migration.

What about bank history older than two fiscal years?

The free conversion covers two fiscal years of bank transactions, and older years are quoted as an extra in the wizard. Many firms only need the older years for reference and keep them in Xero read only, or in the bank exports. If you do want older activity in QuickBooks and the bank only gives you a CSV download, a CSV to QBO converter turns that file into a Web Connect file QuickBooks Online can import, which avoids retyping it.

Whatever you bring in later, bring it in after the contact cleanup. A bank import matches payees by name, and every duplicate vendor you removed is one fewer place for a payment to land on the wrong record.

Where DataUntangler fits in a Xero to QuickBooks conversion

DataUntangler does not connect to Xero or QuickBooks and does not convert transactions. It takes the exported contact list, proposes every duplicate cluster and every format fix as a change you approve or reject, and gives you the cleaned file and an audit log. The conversion itself stays with Dataswitcher or your conversion partner.

The buyer is usually the bookkeeper or accounting firm moving a US client from Xero to QuickBooks Online, or the business owner doing it with a conversion date set, who wants one customer and one vendor per business on day one and a record of what was merged. The same pass works for any system change, as the guides on QuickBooks to NetSuite migration and data migration cleansing software show, and the matching rules are explained on data deduplication.
