Merge customers in QuickBooks Desktop and merge vendors from one reviewed list

QuickBooks Desktop merges two names when you rename one to exactly match the other, one pair at a time, and the merge cannot be undone. Nothing in the Customer Center or Vendor Center tells you which pairs belong together. DataUntangler reads your exported customer or vendor list in the browser, groups the likely duplicates with the reason for each match, and gives you a reviewed list of pairs to merge plus an audit log you can keep with the client file.

02 About merge customers in quickbooks desktop

Why QuickBooks Desktop files collect duplicate customers and vendors

A QuickBooks Desktop file is often ten or fifteen years old. Over that time the same vendor gets added from a bill, again from a bank feed rule, again when someone types "Oakline Landscaping" on a check because "Oakline Landscaping LLC" did not come up in the dropdown fast enough. Customers pile up the same way from estimates, web store syncs and payment apps, and every one of those names is a separate record with its own balance and history.

Desktop also keeps one name list across customers, vendors, employees and other names, and a name can only be used once. A business that buys from you and sells to you ends up as "Delgado Electric" and "Delgado Electric (v)". Those two are not duplicates and should stay apart, which is exactly why a merge pass has to be read by a person and not run blind.

How do I merge customers in QuickBooks Desktop?

  1. 1 Back up the company file and switch to single user mode under File. Intuit also asks you to clear any pending accountant changes and, on Windows, to turn off multicurrency before you merge.
  2. 2 Open Customers, then the Customer Center, and copy the exact name of the customer you want to keep.
  3. 3 Right click the duplicate you want to remove, choose Edit Customer, paste the name you copied over the old one and save it.
  4. 4 QuickBooks warns that the name is already in use and asks whether to merge. Select Yes. Every invoice, payment and credit memo on the duplicate moves to the customer you kept, and the duplicate is gone.
  5. 5 Repeat for the next pair. Work from the reviewed list in this page, so each merge is one you already decided, and keep the audit log as the record of what was merged and why.

How to merge vendors in QuickBooks Desktop

Vendors merge the same way. In the Vendor Center, copy the name to keep, edit the duplicate, paste the name and confirm the merge. On a Mac you can also select the vendor to remove and choose Edit, then Merge. In QuickBooks Desktop Accountant the Client Data Review tools include Merge Vendors, and in Enterprise it sits under Company, then Accounting Tools.

Intuit lists vendors that cannot be merged: tax authorities, tax exempt vendors, vendors paid through online banking and direct deposit vendors. A name with online information attached has to be disconnected from the bank first. Mark those rows in the exported file before you start, so the pass does not hand you a pair QuickBooks will refuse.

Can you merge customers with jobs in QuickBooks Desktop?

Not directly. QuickBooks Desktop will not merge a customer that has jobs, and it will not merge a job into another customer. Move the jobs first, or make the sub-customer a regular customer by clearing the sub-customer setting, then merge. If both duplicates carry jobs for the same project, decide which job list survives before you touch either record.

QuickBooks Desktop also merges only two names at a time. A supplier with four records takes three merges, which is why it pays to settle every group in a file before you open the first edit window.

Can you undo a merge in QuickBooks Desktop?

No. Intuit states that a merge cannot be undone. The only way back is to restore the backup you made before merging, which also throws away every transaction entered since. That is the strongest reason to decide the pairs outside QuickBooks, on a list where a wrong match costs nothing, and to merge only what a person has approved.

The audit log from the pass helps if a merge is ever questioned. It shows the two rows, the reason they were matched and who approved them, which is the answer a reviewer or a client wants when a vendor history suddenly looks longer than it used to.

QuickBooks Desktop on its own against a pass on the exported list

The duplicate QuickBooks Desktop on its own Pass on the exported list
Oakline Landscaping LLC and Oakline Landscaping Two vendors, no suggestion Matched once LLC is set aside
Same email with capitals and a trailing space Two vendors, no suggestion Trimmed and lowercased, then matched
Northeast Paper Co and Northeast Paper Company Two vendors Matched once Co and Company are set aside
Same business as a customer and a vendor Name must differ, so (v) is added Left apart, you read the pair
Ramirez & Sons against Ramirez and Sons Two vendors Not matched, sort by name and check
A customer that has jobs Merge refused until jobs move Matched, you move the jobs first

The merge itself always happens inside QuickBooks Desktop, one pair at a time. The pass decides which pairs, in advance, with a record of each decision.

The matching is the same data deduplication engine used across the site: exact email after trimming and lowercasing, then the company name with legal suffixes set aside, with fuzzy matching where a person name sits next to the company. Each group is built around the most complete row, and nothing changes until you approve it.

How to export the customer or vendor list from QuickBooks Desktop

Open the Customer Center or the Vendor Center, open the Excel menu and choose Export Customer List or Export Vendor List, then pick a comma separated values file. That export carries names, company names, emails, phones, addresses and balances. If you need other columns, run Reports, then List, then Customer Contact List or Vendor Contact List, customize the columns and send it to Excel as a CSV.

Keep the headers plain, such as Vendor, Company Name, Main Email, State and Zip, and add a column for the vendors QuickBooks will not merge. Then load the file into the demo at the top of this page. Nothing uploads, the list is read and matched inside your browser tab.

Merge before the file leaves QuickBooks Desktop

Intuit stopped selling new QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus subscriptions to new US customers after September 30, 2024, and many firms are now moving Desktop clients to QuickBooks Online or to another system. Any conversion copies the name list as it stands, so every duplicate in Desktop arrives as a duplicate on the other side, already attached to its transactions.

Merging in Desktop first is cheaper than merging after. Once the books are in QuickBooks Online, the same pass on the Online export is covered on QuickBooks Online merge vendors and customers. If the destination is NetSuite, the list cleanup is part of QuickBooks to NetSuite migration. Files coming the other way, from Sage 50 into QuickBooks, carry their duplicates in too, and that case is covered in Sage 50 to QuickBooks conversion.

Do duplicate vendors split 1099 totals in QuickBooks Desktop?

Yes. QuickBooks Desktop totals 1099 payments per vendor record, so one contractor on two records gets two partial totals. For payments made in 2025 the 1099-NEC threshold is $600, and for payments made after December 31, 2025 it rises to $2,000 under Public Law 119-21. A designer paid $1,400 under "Kevin Brooks" and $900 under "Kevin Brooks Design" shows under the threshold twice while being paid $2,300.

The pass leaves a pair like that apart when the two records carry two different emails, because two emails can be two payees. Read those pairs yourself, and merge the ones that are one person before you run the 1099 wizard. That week before January 31 is the worst time to find the split.

Who pays for a QuickBooks Desktop list cleanup

The buyer is the bookkeeper or accounting firm that takes over an old Desktop file for a US client, the controller of a company running Enterprise with a vendor list nobody has cleaned in years, or the firm moving a Desktop client to a new system with a conversion date. They have a 1099 filing to get right or a migration to defend, and they need to show which records were merged and why.

A firm with many Desktop clients gets the most from it, because the same pass runs on each client export in a few minutes. DataUntangler is a data cleaning tool on the Analyst plan at 59 dollars a month, or 348 dollars a year, with unlimited files. It does not connect to your company file and writes nothing to it. You run every merge in QuickBooks Desktop yourself.

03 Read it off a real file

A QuickBooks Desktop vendor list export run through the engine on this page

Vendor Main Email Company Name Result
Oakline Landscaping LLC office@oaklinelandscaping.com Oakline Landscaping LLC Kept, ohio to OH
Oakline Landscaping (no email) Oakline Landscaping Same company name, confidence high
Delgado Electric Inc billing@delgadoelectric.com Delgado Electric Inc Kept, texas to TX
Delgado Electric Billing@DelgadoElectric.com Delgado Electric Same email address, confidence high
Northeast Paper Co orders@nepaper.com Northeast Paper Co Kept, mass to MA, ZIP 2110 to 02110
Northeast Paper Company (no email) Northeast Paper Company Same company name, confidence high
Kevin Brooks kbrooks.design@gmail.com (none) Left alone
Kevin Brooks Design kevin@kbrooksdesign.com Kevin Brooks Design Left alone: two emails, you decide
Ramirez & Sons Hauling dispatch@ramirezhauling.com Ramirez & Sons Hauling Kept, nothing matched
Ramirez and Sons Hauling (no email) Ramirez and Sons Hauling Not matched to Ramirez & Sons

Every result above came out of a real run on this file. The phone numbers in the file were written three ways and are not used as a match key, and "and" against "&" in a company name is not matched, so sort the list by name and read those rows yourself. The Kevin Brooks pair is left alone because two emails can be two payees; if it is one contractor, merge it so the 1099 total is complete.

04 Cleaning a QuickBooks Desktop name list

What QuickBooks Desktop does not flag

QuickBooks Desktop knows a name only by its exact spelling. Every suffix, abbreviation or second email is a new record, and nothing suggests the pair.

QuickBooks Online merge vendors

Ten years of spellings

Old company files carry the same vendor two or three times, each with its own history.

Merge by rename

Two names at a time, no merge for customers with jobs, and no undo except a backup.

Conversions copy everything

Moving off Desktop carries every duplicate into the new system with its transactions.

What the list pass adds

Every likely duplicate in the export in one view, the reason for each match, and a log of each merge you approved for the client file.

Questions about merge customers in quickbooks desktop

How do I merge two customers in QuickBooks Desktop?
Copy the exact name of the customer you want to keep, open the duplicate with Edit Customer, paste that name over its own and save it. QuickBooks says the name is in use and asks to merge. Select Yes, and all transactions move to the customer you kept. Back up and switch to single user mode first.
Can you merge more than two customers at once in QuickBooks Desktop?
No. QuickBooks Desktop merges two names at a time, so a customer with three records takes two merges. Settle every group in an exported list first, then work through the pairs in QuickBooks, so you are not deciding one record at a time inside a merge you cannot undo.
Why will QuickBooks Desktop not let me merge two vendors?
Intuit blocks merges for tax authorities, tax exempt vendors, vendors paid through online banking and direct deposit vendors, and for names with online banking information attached. A customer with jobs also has to have the jobs moved first. Check those conditions before you start the merge.
Can you unmerge customers in QuickBooks Desktop?
No. A QuickBooks Desktop merge is permanent. The only way back is to restore the backup made before the merge, which loses everything entered since. That is why the pairs should be decided and approved on an exported list before any name is edited in the company file.
Does DataUntangler connect to QuickBooks Desktop?
No. It works on the customer or vendor list you export as a CSV, in your browser, and returns the matched pairs, a cleaned file and an audit log. You run the merges in QuickBooks Desktop yourself. Nothing on this site has access to your company file and nothing writes to it.
