QuickBooks Online merge vendors and merge customers from one reviewed list
QuickBooks Online merges vendors and customers one pair at a time, the merge cannot be undone, and nothing in QuickBooks lists which pairs belong together. DataUntangler reads your exported vendor or customer list in the browser, groups the likely duplicates with the reason for each match, and gives you a reviewed list of pairs to merge plus an audit log. That matters most before 1099 season, because a contractor split across two vendor records has their payments split across two totals.

Want this on every file, and on bigger ones?
The free try is one file of your own. The Analyst plan cleans as many files as you need, up to 25MB and about 100,000 rows each, for $59 a month or $348 a year.
3. Take the result
The cleaned CSV contains only the changes you approved. The log lists every change, approved or not.
Why QuickBooks Online ends up with duplicate vendors
QuickBooks Online identifies a vendor by its display name, and display names have to be unique across the customer, vendor and employee lists. Anything that is not the identical name is a new record. So "Rivera Plumbing LLC" from a bill entered by hand, "Rivera Plumbing" created by a bank feed rule, and "Rivera Plumbing (v)" added because the same business is also a customer are three vendors from the first day.
Bank feeds, receipt capture apps, bill pay integrations and imports from older systems each create vendors in their own spelling. Bookkeepers who take over a file mid year usually inherit a vendor list where the same supplier appears two or three times, with payments spread across all of them.
Do duplicate vendors affect 1099 reporting in QuickBooks?
Yes. QuickBooks totals 1099 payments per vendor record, so a contractor split across two records gets two partial totals, and either half can fall under the filing threshold while the real total does not. For payments made in 2025 the 1099-NEC threshold is $600. For payments made after December 31, 2025 it rises to $2,000 under Public Law 119-21, and from 2027 it is adjusted for inflation.
Picture a designer paid $1,500 under "Maria Lopez" and $1,200 under "Maria Lopez Design". Neither record reaches $2,000, so neither shows up for a 1099, while the person received $2,700. Merging before you run the 1099 wizard puts the payments back on one record. The same split also puts two W-9s, two addresses and two tax IDs on file for one payee, which is the next thing a reviewer asks about.
How do I merge vendors in QuickBooks Online?
- 1 Export the list first. On the Vendors page use Export to Excel at the top right, or open the Vendor Contact List report, add the columns you need (email, phone, address, tax ID, 1099 tracking) under Customize, run it and export it. For customers, do the same from the Customers list or the Customer Contact List report.
- 2 Load the file into the demo at the top of this page. Nothing uploads, the list is read and matched inside your browser tab. Each likely duplicate shows its rows side by side with the reason, for example the same email after trimming, or the same company once LLC and Inc are set aside.
- 3 Approve the pairs you agree with and reject the rest, then download the audit log. For each pair, decide which record survives. Keep the one with the W-9 on file, the correct tax ID and the bank details used for payments.
- 4 In QuickBooks Online, go to Expenses and Bills, then Vendors, and open the duplicate you want to remove. Open the dropdown next to Edit, choose Merge contacts, pick the vendor to keep in the Into field and confirm. QuickBooks moves the past transactions to the vendor you keep and marks the duplicate as deleted.
- 5 Work down the list one pair at a time, then rerun the 1099 summary and check that each contractor appears once with the full total. The audit log is your record of why each record was merged, for the client or for your reviewer.
How do I merge customers in QuickBooks Online?
Open the customer profile you want to remove from the Customers tab, open the dropdown next to Edit and choose Merge contacts, then confirm the customer to keep. Before that, check that neither customer has sub-customers or projects. Intuit asks you to turn sub-customers into regular customers first, or the merge will not go through.
All data from the duplicate moves to the customer you keep, and the duplicate becomes inactive with an empty transaction history. Customer duplicates usually come from online store and payment integrations, where one buyer checks out under a second email, so the email match in the file finds most of them in one pass.
Can you undo a merge in QuickBooks Online?
No. Intuit states that merging customers is permanent and cannot be undone, and that a merged vendor has to be recreated by hand if you need it back. The transactions that moved stay on the record you kept. That is the reason to settle the pairs in a file first, where a wrong match costs nothing, rather than deciding inside QuickBooks one merge at a time.
A reviewed list also protects the vendors you should not touch. Do not merge a vendor that is a tax agency, a payroll or direct deposit payee, or one paid through a connected bill pay service, until you have checked how that connection identifies the vendor. Mark those rows in the file and skip them.
QuickBooks Online on its own against a pass on the exported list
| The duplicate | QuickBooks Online on its own | Pass on the exported list |
|---|---|---|
| Rivera Plumbing LLC and Rivera Plumbing | Two vendors, no suggestion | Matched once LLC and Inc are set aside |
| Same email with capitals and a trailing space | Two vendors, no suggestion | Trimmed and lowercased, then matched |
| One contractor under two names and two emails | Two vendors, 1099 totals split | Shown separately, you decide |
| Same business as a customer and a vendor | Display name must differ, so (v) or (c) is added | Suffix left as is, flagged for you to read |
| Summitt against Summit, a typo in the vendor name | Two vendors | Not matched when nothing else is shared |
| States and ZIP codes written several ways | Stored as typed | Two letter states, five digit ZIP codes |
The merge itself always happens inside QuickBooks Online, one pair at a time. The pass decides which pairs, in advance, with a record of each decision.
The matching is the same data deduplication engine used across the site: exact email after trimming and lowercasing, then the company name with legal suffixes set aside, with fuzzy matching where a person name sits next to the company. Each group is built around the most complete row, and nothing changes until you approve it.
When to clean the vendor list
The busiest week is the one before 1099s are due, January 31 for the 1099-NEC, and that is the worst week to find out the list is split. Running the pass in November or December leaves time to chase missing W-9s for the merged vendors and to check the totals against the bank.
The other good moment is a system change. If the books are moving off QuickBooks, merge the list before the export rather than after, because the new system will import every duplicate exactly as it finds it. The QuickBooks to NetSuite migration guide covers that move, and the vendor master data cleansing guide covers the same work on a larger vendor master. If the move is to Xero, the customer and vendor pairs that become two Xero contacts are covered in QuickBooks to Xero migration, and a file still on Desktop is handled on merge customers in QuickBooks Desktop.
Who pays for a QuickBooks vendor cleanup
The buyer is the bookkeeper or accounting firm that runs QuickBooks Online for US small business clients, or the controller of a company that has outgrown its own vendor list. They have a 1099 filing to get right, a new client file to take over, or a migration date, and they need to show which records were merged and why.
A firm with many client files gets the most from it, because the same pass runs on each client export in a few minutes. DataUntangler is a data cleaning tool on the Analyst plan at 59 dollars a month, or 348 dollars a year, with unlimited files.
What DataUntangler does not do in QuickBooks
DataUntangler does not connect to your QuickBooks Online company and does not merge anything there. It works on the exported list, in your browser, and returns the pairs, the cleaned file and the audit log. You run each merge in QuickBooks with Merge contacts, which keeps the decision with the person responsible for the books.
It also does not file 1099s or collect W-9s. If you need to bring in bank history from a CSV rather than a bank feed, or to load a cleaned customer list back in, those are separate steps in QuickBooks. If the next job is a NetSuite import of the same list, the file side is on NetSuite CSV import.
A QuickBooks Online vendor list export run through the engine on this page
| Vendor | Company name | Result | |
|---|---|---|---|
| Rivera Plumbing LLC | jose@riveraplumbing.com | Rivera Plumbing LLC | Kept, texas to TX |
| Rivera Plumbing | (no email) | Rivera Plumbing | Same company once LLC is set aside, confidence high |
| Brightline Electric Inc | ap@brightlineelectric.com | Brightline Electric Inc | Kept, mass to MA, ZIP 2110 to 02110 |
| Brightline Electric | AP@BrightlineElectric.com | Brightline Electric | Same email address, confidence high |
| Summit Office Supply | orders@summitoffice.com | Summit Office Supply Co | Kept |
| Summit Office Supply | (no email) | Summit Office Supply | Same company once Co is set aside, confidence high |
| Summitt Office Supply | (no email) | Summitt Office Supply | Not matched: a typo and nothing else shared |
| Maria Lopez | maria.lopez@gmail.com | (none) | Left alone |
| Maria Lopez (v) | mlopez.design@gmail.com | (none) | Left alone: two emails, you decide |
| Harper and Cole Builders | billing@harpercole.com | Harper and Cole Builders | Not matched to Harper & Cole Builders |
Every result above came out of a real run on this file. Two limits show here: "and" against "&" in a company name is not matched, and a one letter typo in the vendor name is not matched when no email is shared, so sort the list by name and read those yourself. The Maria Lopez pair is left alone because two different emails can be two payees; if they are one contractor, merge them so the 1099 total is complete.
What QuickBooks does not flag
QuickBooks Online knows a vendor by its exact display name. Every other spelling, suffix or second email is a new vendor, and nothing suggests the pair.
Data deduplication toolsLegal suffixes split suppliers
Rivera Plumbing and Rivera Plumbing LLC are two vendors with two payment histories.
1099 totals split too
Payments are totaled per vendor record, so a split contractor can fall under the threshold on both halves.
Merges are permanent
One pair at a time, no undo, and a merged vendor has to be recreated by hand.
What the list pass adds
Every likely duplicate in the export in one view, the reason for each match, and a log of each merge you approved for the client file.
