Zoho CRM Data Migration With Files Cleaned and Deduped Before the Wizard

A Zoho CRM data migration moves your old CRM into Zoho as it is, duplicates included, and overwritten records cannot be rolled back. Here is what to clean in the exported files, in what order, and what a real pass on a contacts export finds.

A Zoho CRM data migration copies whatever your source files contain. The Migration Wizard maps fields from Salesforce, HubSpot, Pipedrive and other systems into Zoho modules, but it is not a cleanup step: a contact that exists twice in the old CRM arrives twice, a state written three ways arrives three ways, and a revenue field with dollar signs has to be mapped as text or fixed. The cheapest place to fix all of that is the exported CSV files, before the first run.

The practical answer is to export each module, run the contacts and accounts through a reviewed deduplication and format pass, and migrate the cleaned files. Every change is approved by a person and written to an audit log, so the record counts in Zoho can be explained at sign off. The steps below follow that order.

What the Zoho CRM Migration Wizard does, and what it leaves to you

Zoho documents the wizard in its data migration help pages. It supports Salesforce, other Zoho CRM accounts, Pipedrive, Highrise, Insightly, MS Dynamics and Maximizer from files, and Capsule, HubSpot and Bigin through an API transfer. File based migrations take CSV files, or a ZIP holding only CSV files with no nested folders, and only users whose profile has the Data Migration permission can run one. Standard modules (Leads, Contacts, Accounts, Deals), activities and inventory modules can all be migrated.

If you are going the other way and leaving Zoho, the Salesforce load tools match far less than the Zoho wizard does, and leads and contacts for the same person arrive as two objects. That move is covered in Zoho to Salesforce migration.

Two details decide how careful you have to be. Record owners are linked through migration IDs, so Zoho asks you to migrate a users file first and then the modules that reference it. And the upsert option has a hard limit on undo: Zoho states that only new data inserted as part of an upsert can be rolled back, while existing data overwritten by the upsert file cannot be undone. A bad second pass is permanent.

Step in the migration What Zoho handles What stays with you Where it goes wrong
Field mapping Maps source fields to Zoho fields Choosing the fields to keep A field with no Zoho target is left behind
Owners Links records by migration ID Exporting a clean users file Records land on the wrong owner
Duplicates Loads the rows it is given Merging duplicates in the source Two contacts for one person on day one
Formats Stores values as supplied States, dates, currency, ZIP codes Reports split by spelling

How do I avoid duplicates when importing into Zoho CRM?

Merge the duplicates in the file before it goes in, then let Zoho check a unique field as a second line of defense. On a regular import, Zoho lets you pick a field such as Email for the duplicate check and choose Skip, Overwrite or Clone for matching records. With the email duplicate check enabled, Clone is disabled, so you choose Skip or Overwrite.

That check only catches records that match exactly on the field you chose. It will not connect Priya Shah at Crestline Dental Group LLC with Priya Shah at Crestline Dental Group when the second row has no email, and it does not propose near matches for you to review. That is the job of the file pass, and it is the same reasoning as the Zoho CRM deduplication page, applied before the data is in Zoho instead of after.

What a real contacts export looks like after the pass

We ran a ten row contacts export, shaped like the file a Salesforce or HubSpot migration produces, through the engine behind our browser demo. The columns were Record Id, First Name, Last Name, Account Name, Email, Mailing State, Created Time and Annual Revenue. These are the results it produced, not a mockup.

Rows in the export What they had in common Result Confidence
Priya Shah, Crestline Dental Group LLC and Crestline Dental Group Same name, legal suffix differs, no email on one One cluster, row with email kept High
Lauren Brooks, two copies Same email, one in capitals with a trailing space One cluster High
Megan and Meghan Doyle, Bayview Clinics and Bayview Clinics Inc. Close name, same company One cluster Likely
Carlos Vega, two different emails Same name and company Left as two contacts Not matched

The same run turned ohio, texas, illinois, arizona and florida into OH, TX, IL, AZ and FL, resolved 03/04/2025 and 4 Mar 2025 to one date, 2025-03-04, and turned $1,250,000 and $880,000.00 into plain numbers for a currency field. One honest miss from the same test: Ben Carter at Ridgeway Freight and Benjamin Carter at Ridgeway Freight Inc were not matched, because the engine does not know nicknames. Sort by last name and company once and look for those pairs by eye. The Carlos Vega pair is left alone on purpose, since two addresses usually mean two inboxes, and that behavior is explained on fuzzy matching.

How to clean your data before a Zoho CRM migration

  1. 1 Export every module you plan to move from the old CRM as CSV: users, accounts, contacts, leads, deals and activities. Keep the source record ID on every row, because the migration links records through those IDs and you will need them to trace any merge later.
  2. 2 Give the contacts and accounts files plain headers, and leave the record owner column out of the copy you deduplicate. A column that holds rep names, read as part of the contact, keeps two copies of one person apart just because two reps created them.
  3. 3 Load the accounts file into the demo, then the contacts file. Nothing uploads, both are matched inside your browser tab. Approve the duplicate clusters and the state, date, currency and ZIP code fixes you agree with, reject the rest, and download the cleaned CSV with its audit log.
  4. 4 Repoint the children. Where two accounts were merged, replace the losing account ID with the kept one in the contacts and deals files, using the audit log as the lookup. Skip this and the migration either fails those rows or recreates the account you merged away.
  5. 5 Run a trial migration into a Zoho sandbox or a test account first, compare the record counts per module against the cleaned files, then run the real migration once. Save the second pass for new records only, because overwritten data cannot be rolled back.

Is Zoho CRM migration assistance enough on its own?

Zoho offers migration assistance, and Zoho partners run full migrations as paid services. They are good at the parts that need Zoho knowledge: module design, field mapping, workflows, layouts and the migration run itself. What they cannot do is decide which of two Priya Shah records is the real customer. That decision needs someone who knows the accounts, which is why list cleanup is so often handed back to the sales ops or finance team.

The cleaner the files you hand over, the shorter and cheaper the partner engagement. A reviewed merge list, keyed on the source record ID, also answers the first question every migration sign off asks: why does Zoho hold fewer contacts than the old CRM? The general version of this cutover plan, for any CRM or ERP, is in data migration cleansing software. Teams going the other way, out of Zoho, face a different trap, covered in Zoho to HubSpot migration.

Keep the new CRM clean after the migration

Cutover is when duplicates are cheapest to prevent and most expensive to ignore. Mark Email as a unique field in Leads and Contacts so Zoho raises an alert on new duplicates, and route every future list import through the same file pass before it is loaded. The routine that keeps a CRM usable between migrations is covered in CRM data cleansing.

If Zoho CRM also feeds a warehouse or a BI dashboard, watch those synced tables closely for the first few weeks. Pointing data observability monitoring at them means a mapping mistake shows up as a sudden drop in row volume or a changed schema, instead of as a quarterly report that nobody can reconcile.

Where DataUntangler fits in a Zoho CRM migration

DataUntangler does not connect to Zoho or to your old CRM, and it does not run the migration. It takes each exported file, proposes every duplicate cluster and every format fix as a change you approve or reject, and returns the cleaned CSV with an audit log you can hand to the partner and to whoever signs off the counts. It runs on the Analyst plan at 59 dollars a month with unlimited files. If you are leaving Salesforce, the matching rules on the source side are covered on Salesforce deduplication, and for Pipedrive on Pipedrive duplicate contacts.
