Zoho CRM deduplication that finds the duplicate contacts an exact match misses
Zoho CRM deduplication is the job of finding the leads, contacts and accounts that describe the same person or company and merging them into one record. Zoho ships a De-duplicate tool for it, and it works well on records whose fields are identical. It compares up to three fields, merges at most three records at a time, and the merge cannot be reverted. The duplicates that differ by a suffix, a spelling or an empty email column need a second pass, and this page runs that pass on your export, in your browser, with every merge shown to you first.

The free try is one file of your own. The Analyst plan cleans as many files as you need, up to 25MB and about 100,000 rows each, for $59 a month or $348 a year.

What the Zoho CRM De-duplicate tool matches, and where it stops
Zoho documents the tool plainly. In the Leads, Accounts, Contacts, Deals, Vendors and custom modules you open the More menu, choose De-duplicate, and pick up to three fields to compare, such as Email and Account Name. Zoho then finds the records with identical values in those fields and merges them. Where two records disagree on some other field, you resolve the conflict in a popup or come back to it later from an email link that stays valid for three days.
The word that matters is identical. Acme Corp and Acme Corporation are two values. So are Markus Hall and Marcus Hall, and a contact typed in by a rep against the same person imported from a webinar list with the email column blank. None of those pairs survive an identical match on the fields that differ, so none of them are proposed, and the tool reports a clean module while they stay in it.
Three more limits shape how you use it. Only one user per module can run De-duplicate at a time. Zoho restricts the tool to users at the highest hierarchy in the organization or on an administrative profile, while the record level Find and Merge Duplicates tool needs the Find and Merge permission in the profile instead. And when Zoho merges, the records folded into the master are deleted permanently. Zoho says so in its own help pages: the action cannot be reverted.
Exact match inside Zoho against a fuzzy pass on the export
| The pair in your Zoho CRM | De-duplicate (identical fields) | Pass on the export |
|---|---|---|
| Same email, entered twice | Found | Found |
| Same email, one copy in capitals with a trailing space | Missed unless the values are stored identically | Found after trimming and lowercasing |
| Ridgeline Partners against Ridgeline Partners LLC | Missed | Found once the suffix is normalized |
| Marcus Hall against Markus Hall, same account | Missed | Proposed as a likely match |
| A rep entered record against an imported row with no email | Missed | Found on name and account |
| Two different emails, same name and account | Missed | Kept as two people on purpose |
| Four or more copies of one contact | Merged three at a time | Shown as one cluster |
The second to last row is deliberate. A shared name at the same account is not proof of one person, and a file of 30,000 contacts has plenty of people with the same name at large companies, so two rows with two different addresses stay as two rows.
The two are not competitors. Let De-duplicate clear the identical pairs inside Zoho, where it is quick and free of any export. Then work the export for the pairs whose fields never agreed. The matching on the export is ordinary fuzzy matching on name and normalized account name, grouped into clusters around the record worth keeping.
How to find duplicate contacts in Zoho CRM on the export
- 1 Export the module from Zoho (Setup, then Data Administration, then Export) and keep the Record Id column. That column is what lets your admin act on exactly the right records later.
- 2 Leave the Contact Owner column out of the export, or delete it before you load the file. It holds the name of the rep who owns the record, and a matcher reading it as part of the contact name will keep two copies apart simply because two different reps created them.
- 3 Load the CSV into the demo at the top of this page. Nothing uploads: the file is read and matched in your browser tab.
- 4 Read each cluster. It says why the rows matched (same email, same name and account, or a close name and account match), shows its confidence, and marks the most complete row as the one to keep.
- 5 Approve the merges you agree with and reject the rest, then export the audit log. It lists every losing Record Id against the one that survives, which is the merge list your Zoho admin works from, three records at a time, using Find and Merge on the record page.
Can you undo a merge in Zoho CRM?
No. When Zoho CRM merges duplicates, the records merged into the master are deleted permanently and the action cannot be reverted. Whatever was in the losing record and not carried to the master is gone, so the only protection is deciding correctly before you click Merge, with the evidence written down.
That is where a reviewed list earns its half hour. The export pass costs one CSV download and one upload. What it buys is a list you read before anything in Zoho changes, plus a CSV of what you decided and why. When a rep asks three weeks later where their contact went, the answer is a row in a file, keyed on Record Id, rather than a guess.
Deduplicate Zoho CRM leads before they turn into contacts
Most duplicate contacts in Zoho start as duplicate leads. A list gets imported into Leads, some of those people already exist as contacts, and conversion creates a second contact instead of finding the first. Cleaning the list before the import is the cheapest point in the whole lifecycle to catch that, because nothing has been converted and nothing has to be merged.
So the same pass works in two places. On an export, it gives your admin a merge list. On a file you are about to import, it gives you one row per person to import in the first place, with emails trimmed and lowercased, names and company names in consistent case, state names turned into two letter codes and dates in one format. The general version of this workflow, for any CRM, is CRM data cleansing, and the same pass for other systems is covered under HubSpot deduplication and Salesforce deduplication.
When an app that connects to Zoho is the better buy
Working on the export fits a cleanup project: a backlog of duplicates from years of imports, a migration into Zoho, or a merge list someone has to sign off before it runs. It is a manual loop by design, and a person applies the merges. If you are moving into Zoho from another CRM, the order of the cleanup is laid out in Zoho CRM data migration, and if you are leaving Zoho for HubSpot, in Zoho to HubSpot migration.
If what you need is a job that runs every night inside Zoho and merges through the API, buy a product built for that. Dedupely connects to Zoho CRM directly and merges on a schedule, and we compare it honestly on the Dedupely alternative page. DataUntangler does not connect to your Zoho account and does not pretend to. It is a data cleaning tool that gives you the file, the matching and a record of each decision, on the Analyst plan with unlimited files.
Two Zoho contacts the De-duplicate tool reads as two people
| Record Id | First Name | Last Name | Account Name | Result | |
|---|---|---|---|---|---|
| zcrm_...412001 | Jose | Munoz | Ridgeline Partners | jmunoz@ridgeline.com | Kept: the more complete record |
| zcrm_...412017 | Jose | Munoz | Ridgeline Partners LLC | Same name and company, confidence high | |
| zcrm_...412033 | Marcus | Hall | Acme Corp | mhall@acme.com | Kept |
| zcrm_...412049 | Markus | Hall | Acme Corporation | Close name and company match, likely |
Neither pair shares an identical Email or Account Name, so an identical match on those fields proposes nothing. Normalizing the company suffix and scoring the names side by side is what brings both pairs up, and the Record Id is what makes them actionable once you approve them.
What an identical match cannot report about the pairs it never found
De-duplicate reports what it merged. It has no way to report the duplicates whose fields never agreed, so a clean run looks exactly like a clean module.
CRM data cleansingThree fields, identical values
A pair that differs by one letter or one suffix in any compared field is two records to the tool, pass after pass.
Merges that cannot be reverted
The records merged into the master are deleted, so a wrong merge is not something anyone can reconstruct afterwards.
Imports bring the duplicates back
If the copies came from lead lists, the next list brings more, and cleaning inside Zoho never touches the file that produced them.
What the export pass adds
Matching on name and normalized account name, every cluster shown with its reason and confidence before anything is applied, and a CSV of the merges you approved keyed on Record Id.
