Pipedrive duplicate contacts and deduplication, with every merge reviewed first
Pipedrive duplicate contacts are people and organizations entered more than once, usually by two reps or by an import that did not recognize a record it already had. Pipedrive has a Merge Duplicates tool, and it flags a person only when the name is identical and the phone, email or organization matches too. Everyone else stays in the list twice. This page runs the second pass on your Pipedrive export, in your browser, and shows you each proposed merge with its reason before anything changes.

What Pipedrive Merge Duplicates checks, and where it stops
Pipedrive documents the rule in its own knowledge base. A person is flagged as a possible duplicate when two records have the same name and also share one of three things: a phone number, an email address or an organization. An organization is flagged when two records have the same name and the same address. You find the list under Tools and apps, then Merge Duplicates, and it is available on every Pipedrive plan to admins and to users who have the merge permission.
Look at what every one of those rules starts with. The name has to match. Kristen Lowe and Kristin Lowe are two names, so the pair is never shown, whatever else they share. A contact whose organization was linked as Harbor Logistics Inc on one record and Harbor Logistics on the other shares no organization either, because those are two organization records in Pipedrive. The tool reports what it can see, and a list with no suggestions looks exactly like a clean account.
Two more facts shape how you use it. Pipedrive uses the same rules in its import tool, so a spreadsheet that brings in a slightly different spelling of an existing person creates a new person rather than updating the old one. And once two items are merged through Merge Duplicates they cannot be un-merged. Pipedrive says so plainly, and it keeps the primary record value wherever the two disagree, so a phone number on the losing record is gone.
Pipedrive Merge Duplicates against a pass on the export
| The pair in your Pipedrive account | Merge Duplicates | Pass on the export |
|---|---|---|
| Same name, same email | Flagged | Found |
| Same name, one email in capitals with a trailing space | Depends on how the values were stored | Found after trimming and lowercasing |
| Same name, organizations Harbor Logistics Inc and Harbor Logistics, no email on one | Not flagged unless the phone matches | Found once the legal suffix is normalized |
| Kristen Lowe against Kristin Lowe, same company | Not flagged, the names differ | Proposed as a likely match |
| Same name, same organization, two different emails | Flagged as a possible duplicate | Kept as two people unless you merge them yourself |
| Five copies of one person from repeated list imports | Merged as pairs, one at a time | Shown as one cluster with the row to keep marked |
The fifth row cuts both ways. Pipedrive treats a shared name at one organization as enough to suggest a merge. We show the pair as a question and never merge it on our own, and Approve all leaves it, because a large customer account has plenty of people who share a name, and two different addresses are the best evidence you have that they are two people.
Neither approach replaces the other. Let Merge Duplicates clear the pairs whose names are already identical, inside Pipedrive, where it costs nothing. Then work the export for the pairs whose names or organizations never agreed. The matching on the file is ordinary fuzzy matching on name and normalized organization name, and each group is built around the most complete record rather than whichever row happened to come first.
How to find duplicate contacts in Pipedrive on the export
- 1 Export your people from Pipedrive. A global admin can use Tools and apps, then Export data, and choose CSV or Excel. If you want to pick the columns, export from the people list view instead, where you can apply a filter and choose which columns go into the file. Pipedrive keeps exported files for 28 days.
- 2 Keep five columns and give them plain headers: ID, Name, Organization, Email and Phone. The ID is what lets you act on exactly the right record later. Plain headers matter because the demo decides what each column holds from its header. Phone is read as phone numbers, so a second number on a duplicate is kept in an added column rather than lost, while a vague header such as Field 7 tells it nothing, so that column only gets its spaces trimmed.
- 3 Leave the owner column out of the file. It holds the name of the rep who owns each person, and a matcher reading it as part of the contact will keep two copies of one person apart simply because two different reps created them.
- 4 Load the CSV into the demo at the top of this page. Nothing uploads: the file is read and matched inside your browser tab, so a customer list does not leave your laptop while you are deciding what to do with it.
- 5 Read each cluster, approve the merges you agree with and reject the rest, then export the audit log. It lists every losing Pipedrive ID against the one that survives, which is the merge list your admin works through with the Merge button on the person detail view.
Can you undo a merge in Pipedrive?
No. Pipedrive states that once two duplicate items have been merged using Merge Duplicates they cannot be un-merged. The primary record wins every conflict, so any value that existed only on the other record, a second phone number, an older email, a different organization link, is lost. The only protection is choosing correctly before you click, with the evidence written down.
That is what the reviewed list on the export is for. It costs one download and one upload. What it buys is a list you read before anything in Pipedrive changes, and a CSV of what you decided and why, keyed on the Pipedrive ID. When a rep asks where a contact went three weeks later, the answer is a row in a file rather than a guess, which is the same reasoning behind the Salesforce deduplication and Zoho CRM deduplication pages.
Duplicate organizations in Pipedrive
Organizations cause more trouble than people, because every deal and every person hangs off them. Pipedrive flags two organizations only when the name and the address are both the same, which is a sensible rule for companies with several branches, and it means Northgate Capital and Northgate Capital LLC with no address on either are simply two organizations.
The pass on an organization export normalizes the legal suffixes first, Inc, LLC, Corp, Corporation, Ltd and the rest, then compares the names side by side. That is how the Harbor Logistics pair in the example below comes up. Deciding which organization record is the real one, and which people and deals should end up under it, is the same problem as entity resolution on any customer master, just scoped to one CRM.
Clean the import file before it creates Pipedrive duplicate contacts
Most Pipedrive duplicates arrive through imports. A trade show list, a webinar export or a purchased list goes in, some of those people already exist with a slightly different name or organization, and Pipedrive creates new people because its import uses the same identical name rule as Merge Duplicates.
So run the same pass on the file before it goes in. You get one row per person, emails trimmed and lowercased, names and organization names in consistent case, state names turned into two letter codes and dates in one format. Cleaning a file that has not been imported yet costs nothing to undo. The general version of this workflow, for any CRM, is CRM data cleansing, and the HubSpot version is HubSpot deduplication.
When an app connected to Pipedrive is the better buy
A pass on the export fits a cleanup project: a backlog from years of imports, a move into Pipedrive from another CRM, or a merge list somebody has to sign off before it runs. A person applies the merges, and that is deliberate.
If you need bulk merging inside Pipedrive on a schedule, buy a product built for that. Insycle connects to Pipedrive and merges people, organizations and deals in bulk, Dedupely connects to Pipedrive and can merge automatically as duplicates arrive, and Datablist offers a bulk merge workflow too. We compare both honestly, including where they beat us, on the Insycle alternative and Dedupely alternative pages. DataUntangler does not connect to your Pipedrive account and does not claim to. It is a data cleaning tool that gives you the file, the matching and a record of each decision, on the Analyst plan at 59 dollars a month with unlimited files.
A Pipedrive people export, run through the engine on this page
| ID | Name | Organization | Result | |
|---|---|---|---|---|
| 101 | Dana Whitfield | Harbor Logistics Inc | dana@harborlogistics.com | Kept: the more complete record |
| 214 | Dana Whitfield | Harbor Logistics | Same name and company, likely: two IDs, so you approve the merge | |
| 140 | Kristen Lowe | Summit Roofing LLC | klowe@summitroofing.com | Kept, email trimmed and lowercased |
| 251 | Kristin Lowe | Summit Roofing | Close name and company match, likely | |
| 160 | Alan Pierce | Northgate Capital | alan@northgate.com | Kept as its own record |
| 170 | Alan Pierce | Northgate Capital | apierce@northgate.com | Not merged: two emails, shown for you to decide |
Merge Duplicates would miss the first two pairs, because the organization names differ and, in the second pair, so do the first names. It would suggest the Alan Pierce pair, because the name and organization match. The engine finds the first two pairs and never merges the third on its own: two emails may be two people, so that pair is a question for you and Approve all leaves it. Every result above came out of a real run on this file, ID column included, and the two IDs are why the Dana Whitfield pair waits for your click.
What an identical name rule cannot tell you
Merge Duplicates lists what matched its rule. It has no way to list the duplicates whose names never agreed, so an empty list looks exactly like a clean account.
CRM data cleansingThe name has to match first
A typo, a nickname or a middle initial in either record keeps the pair off the list for good.
Merges cannot be reverted
The primary record wins every conflict, so a wrong merge loses the other values with no way back.
Imports refill the list
The import tool uses the same identical name rule, so the next spreadsheet brings the near duplicates straight back.
What the export pass adds
Matching on name and normalized organization name, each cluster shown with its reason and confidence before anything is applied, and a CSV of the merges you approved keyed on the Pipedrive ID.
